Terms and Conditions

General Terms

Initial consultations and quotations are free of charge and are usually carried out by email, telephone, Zoom or Skype. I then issue a Service Agreement detailing the services that you require and the agreed fees. Work will commence once the Service Agreement has been signed by you and returned to me, as this indicates your acceptance of the terms and conditions.

Work will be presented using Microsoft Office applications. I do not accept liability or responsibility for the end use of any documents or materials produced or edited on your behalf.

I accept no liability for loss arising from the performance of any services carried out under the Service Agreement. Although every effort will be made to ensure reliable service, in event of equipment failure, I cannot be held liable for any loss of information.

I reserve the right to reject any work which I believe to be unlawful or immoral.

Payment Terms

Invoices are sent on the last working day of the month and payment is required within 14 days, by bank transfer. I use an online time recording system which allows me to provide a full breakdown of the work done and to invoice to the exact minute.

All travel costs, parking and time spent in face to face meetings, together with expenses such as postage and printing, are all fully chargeable.  I reserve the right to charge interest on payments outstanding after 14 days and in the unlikely event that payment is not received within this time, action may be taken against you to recover the payment plus interest and costs. In the event of a contract being terminated, all work completed up to that point will be invoiced and payable within 14 days. If your original requirement changes I reserve the right to change our Service Agreement following consultation with you.

Projects quoted at a fixed price are payable by bank transfer in advance of work commencing.

Monthly plans are payable by Direct Debit on the 1st working day of the month (in advance of the work commencing). Any additional time spent over and above the agreed plan will be billed at my standard hourly rate on the last working day of the month, and will be payable within 14 days. Monthly plans will continue until terminated by either party giving not less than 30 days’ notice.

Confidentiality

Confidentiality is guaranteed at all times and no information will be made available to third parties.

I have Professional Indemnity insurance with AXA Insurance UK Plc and I would be happy to provide evidence of my insurance on request. For reasons of safety and insurance, personal visits to the premises are not permitted. Any and all necessary meetings will be held at an alternative location.

Communication

I aim to communicate with you by such methods as you may reasonably request. You may need to virus check electronic media and emails as, although I take reasonable precautions, I cannot guarantee that all electronic data is virus free. I will communicate with you and others when appropriate by email, but cannot be held responsible for the security of correspondence and documents sent by email. By accepting these Terms and Conditions, you give informed consent to enable me to communicate with you on confidential matters by email, unless you have asked me not to do so.

Complaints

In the unlikely event that you are unhappy with the service you have been provided, please let me know straight away. I will then investigate the situation and rectify it where appropriate. Responsibility of final proof reading of documents lies with you and any errors notified within 24 hours of receipt will be corrected free of charge. After this time it shall be assumed that the work has been accepted as free of errors and omissions. Errors or omissions reported after 24 hours will still be corrected but the additional time spent will be charged to you at my standard hourly rate.
